Leobit has developed a PoC for an AI-powered voice agent for intelligent appointment scheduling and calendar management. This tool automates customer communication by allowing users to schedule, manage, and organize appointments through conversational AI. It helps companies across industries make calendar management more intuitive and accessible.

This solution can be tailored to the needs of customer support teams across industries. As we built it, we combined voice recognition with smart calendar management and added the ability to automatically recognize users’ time zones.

Our team developed the solution in around two weeks. Most of the work was dedicated to configuring the solution’s logic.

Our team explored the market for voice-enabled AI agents and came up with the idea of an intelligent scheduling solution. We decided to use ElevenLabs ConvAI as the primary platform for building such an agent. It provides access to several AI models with capabilities for speech recognition and processing, as well as intelligent schedule processing and response generation.

ElevenLabs’ text-to-speech and speech-to-text capabilities were integrated to handle real-time dialogue. ConvAI’s agent configuration allowed the team to define custom personas, conversation flows, and tool integrations tailored to each industry’s scheduling logic. We used the Model Context Protocol (MCP) to connect AI models with a database containing scheduling information. Leobit’s specialists also configured the agent’s logic to identify the user’s time zone and schedule meetings or appointments accordingly.

To ensure a convenient user experience, we built the tool’s simple and intuitive UI using Angular and Tailwind CSS. We also developed sample assistants for different domains so that users can explore the solution’s functionality.

The assistant processes spoke requests in real time to execute scheduling actions within seconds. The assistant uses AI models to keep schedules organized. It flags conflicts and adjusts appointment availability based on live calendar updates, helping teams avoid overlaps and make better use of their time. It can also detect a user’s time zone automatically and suggest suitable meeting slots accordingly.

The tool features a convenient UI built with Angular and Tailwind CSS. Users can explore its functionality by using sample scheduling assistants tailored to the workflows of healthcare, insurance, and real estate. Each assistant can be tested independently, allowing stakeholders to experience industry-specific conversation flows firsthand.
